Check-In Process

This section explains how to manage attendee check-ins onsite using the EventX app. The integration, walk-in registration form, badge setup and badge printer are assumed to be pre-configured.

Getting Started with the App

  1. Open the EventX App on your tablet or phone.

  2. Navigate to In-Person Check-In > Tutorial in the EventX portal and scan the Event QR Code using the check-in device.

  • Tap Reception to access the check-in interface.

  • Ensure your badge printer is connected and paired (check under Settings > Printer Settings > Test Printing).

The EventX app is only compatible with tablets and smartphones. It does not support desktop or laptop use.

Check-In Registered Attendees

Attendees who are already registered can be checked in by scanning their QR code or searching manually.

Using QR Code

  1. Tap the orange scan icon.

  2. Scan the attendee's QR code.

  3. If valid you'll see a "CHECKED-IN" confirmation and the badge will print automatically (if not, tap badge icon).

  4. If the attendee is already checked in, a message will display "PREVIOUSLY CHECKED-IN", with the option to override.

  1. Use the search bar to look up the attendee by name or company.

  2. Tap ✓ icon to confirm check in.

  3. The badge should auto-print (if not, open the attendee’s profile and tap the badge icon in the top-right corner).

Undo a Check-In

If an attendee has been checked in by mistake, you can undo the action.

  1. Tap the ✓ icon next to their name.

  2. Select "Undo last check-in".

  3. The attendee will return to “not checked-in” status and can be checked in again if needed.

Walk-In Registration

For new attendees not on the registration list.

  1. Tap the + icon to open the walk-in form.

  2. Enter the required delegate details.

  3. Complete Walk-In form.

  4. Tap Submit - the attendee will be added, checked in and a badge will be printed.

Walk-in registration fields are setup in the EventX portal.

Editing Attendee Information

You can update attendee details before or after check-in.

  • Tap on the attendee’s profile.

  • Tap the pencil icon to edit their info.

  • Tap Save.

  • To reprint their badge with updated details, tap the badge icon in the top-right corner.

Offline Mode Support

The EventX App supports offline check-ins.

  • In offline mode:

    • Check-ins are still recorded locally on the device.

    • Badge printing is disabled until the device reconnects to the network.

  • Once back online:

    • The app will automatically sync check-in data to other check-in devices and Wavecast.

    • To print missed badges, tap the attendee profile and use the badge icon.

The printer should auto-reconnect. If not, follow the steps below.

  • Tap the Settings (cog icon).

  • Go to Printer Settings.

  • Toggle Printer Connection ON.

  • Tap Search for Printers and select your printer.

  • Ensure Badge Printing is toggled ON.

  • Tap Test Printing to confirm connection.
