Importing On-site Check-in Data

The Import Users tool can also be used to upload attendance data captured on-site. This ensures the hub reflects accurate check-in records for each attendee.


Before you begin

  1. Download the template

    • Copy Google Sheetarrow-up-right or download CSV to prepare your data. The file must include the correct column headings for the import to work.

  1. Prepare your data

  • Mandatory fields: Each row must contain the following:

    • Email - user’s email address. Used to match existing users or create a new one. If the email does not exist, a new user will be created.

    • Content ID - Wavecast event or session ID associated with the attendance record.

    • Attendance Mode - must be set to in_person.

    • checked_in_at — check-in timestamp, formatted as YYYY-MM-DD HH:MM:SS (24-hour clock).

  1. Save the file as a CSV

⚠️ Important: The checked_in_at field must follow the exact format YYYY-MM-DD HH:MM:SS (24-hour clock). If formatting is incorrect, the import will fail.


How to import on-site data

  1. Go to Audience → Import in the menu.

  2. Click Choose file and select your completed template (CSV).

  3. Click Import users.

  4. Review the Imports table to check the import is complete:

    • The system will show how many records will be created or updated.

    • Created = New user account created with email address provided

    • Updated = data updated within an existing user account

    • Click Logs to see breakdown by import row.

  • Importing attendance from a third-party check-in app.

  • Bulk updating in-person attendance after an event.

  • Correcting missing or inaccurate check-in data.
